Real cases: companies saving time and money with batch Pix

With Pix (Brazil’s instant payment system) constantly evolving and in mass adoption, it’s surprising that many companies still pay high fees for TED (wire transfers) or base their entire operation on issuing boletos (bank payment slips). For companies that embrace innovation, it is essential to adopt a new reality of mass payments, saving thousands of reais and dozens of work hours every month.

Trio exists to bring that innovation: a blend of bank account and management tool that offers banking infrastructure together with a management console.

Batch payments in particular are a gray area at the big banks. Many banks tie Pix batches to other financial products in exchange for discounts, and the service still leaves a lot to be desired. When any transaction in a batch has an inconsistency, the finance team spends hours trying to redo it or unblock the wrong key directly in the Central Bank’s DICT (the Pix key directory). Banks still commonly require customers to show up in person at a branch to unblock the key in the system. The process can take hours, maybe days.

But who still has time to waste when new technology is available? Alice Veiga, finance manager at an online school that grew from 5 to 98 courses in six months, was in a tight spot when she finally decided to look for a solution. Held hostage by credit cards, she needed to receive Pix from students to build working capital, and also to pay teachers their share every week. Until she found Trio, she made the payments one by one using 4 accounts at different banks, the ones that offered the best rates for transfers between their own account holders. With only 20 teachers, that made sense, but within a few weeks it became unsustainable.

“There were 300 payments every Friday. A senior employee spent a full day of work on this: 4 or 5 days a month.”

Now, each teacher’s record is linked to their course in the ERP, with the same Pix key in Trio’s system. All it takes is adding balance to the virtual account for that module to settle the payments.

Speed in moving money was the main benefit that won over Rafael, owner of a “dark kitchen” business, meaning restaurant kitchens that deliver only through apps. Using the Trio platform, Rafael sends a single remittance to all his suppliers every week. He just reviews the spreadsheet, uploads the data, amounts and internal identifiers into the batch, and that’s it! Flat-rate Pix, regardless of the recipient’s bank. That turned hours of manual work into a few minutes. In all, one workday a week was saved: data entry and reconciliation.

If the thought of reconciling Pix gives you chills, rest easy. Unlike payments with a static QR code, the kind neobanks send out printed on metal plates, Trio’s technology lets thousands of transactions be created, approved and reconciled instantly. The result: Pix is now the main payment method used by companies looking to scale.

Another client that moved from bank remittance files to real-time payments was a company that offers insurance for mobile phones. After all, time is urgent when you’re without a phone, especially when you pay a monthly premium to insure your beloved device. At onboarding, the finance team enters the Pix key each customer has provided into the ERP connected to Trio’s tool. When a claim payment is requested, an employee just moves the data into the day’s payment batch, gets it approved by management and pays the batch. In seconds, policyholders receive the money to buy a new device.

“One of our clients complained that they currently pay R$8 for every TED sent to other banks, and the funds take more than a day to clear. If it’s up to us, that will never happen again. We offer transactions that are reconciled from the moment they’re approved and that complete in seconds,” explains Trio’s CEO, Peterson F. dos Santos.

For managers who want to innovate to grow, there’s more:

  • Operators don’t need to know how to use an API or write code, because the entire process happens in the console;
  • Anyone who pays with Trio can pay however they like: just upload the file to the tool and pay the Pix, either with the balance in the Trio bank account or from any bank account the finance manager selects;
  • If any payment in the batch doesn’t go through, the system flags only the failed payments, so the user can edit the data and resend them;
  • Linked payment: the batch is triggered when the Virtual Account, a dedicated separation of contexts, has a balance. For example, an agency with 35 clients can have a Virtual Account for each client, with inflows and outflows always tied to that account;
  • Built-in automation connected to Zapier to handle your billing;
  • Transaction identifier fields to connect to any ERP, whatever your product or service.
